Privacy notice

What we do with the details you send through the proforma form, email or WhatsApp — purposes, legal bases, recipients, retention and your rights under the GDPR.

Who is responsible

SIA Smartskola, trading as Baltic Cubes, Reg. No. 40203623412, Krišjāņa Barona iela 88, Rīga, LV-1011, Latvia, is the data controller. Contact: orders@cubewholesale.eu, +371 28 949 614. We have not appointed a data protection officer — the founder handles these requests personally.

What we collect, why, and on what legal basis

Proforma requests. Name, work email, company, delivery country, quantity, VAT number and anything you type in the message field — to prepare the quote, check your VAT number in VIES, issue invoices, ship the order and answer you. Legal basis: steps taken at your request before a contract and performance of that contract, GDPR art. 6(1)(b); for VIES checks and invoicing, our legal obligations under VAT and accounting law, art. 6(1)(c).

Email, phone and WhatsApp. Whatever you send us in the conversation, kept as business correspondence — legal basis art. 6(1)(b) and our legitimate interest in documenting what was agreed, art. 6(1)(f).

Website use. Our hosting provider Cloudflare logs IP addresses and request data to deliver and protect the site, and we use Cloudflare Web Analytics, which counts visits without cookies and without profiling individuals. Legal basis: legitimate interest in a secure, working website, art. 6(1)(f). We run no advertising or tracking cookies, so no consent banner is needed.

Who receives the data

Carriers (DPD, Venipak) get the delivery address and contact for the parcel; our accountant and the Latvian State Revenue Service get invoice data; Cloudflare, Inc. hosts the site and stores form submissions on our behalf under a data processing agreement. We do not sell personal data, do not share it with advertisers and send no newsletters. Data stays inside the EU/EEA except for Cloudflare’s global network, which operates under the EU Standard Contractual Clauses.

How long we keep it

Enquiries that do not become orders: 12 months. Order correspondence: 3 years. Invoices and accounting records: 5 years after the end of the financial year, as Latvian law requires.

Your rights

You can ask for access to your data, correction, erasure, restriction, a portable copy, or object to processing based on legitimate interest. Write to orders@cubewholesale.eu — we answer within one month. You can also complain to the Latvian Data State Inspectorate (Datu valsts inspekcija, dvi.gov.lv) or to the supervisory authority in your own country.

Is any of it automated?

No. There is no automated decision-making or profiling: the price calculator on the main page runs entirely in your browser and sends nothing until you submit the form.
